Privacy Policy

1. Overview
Hirefii ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use the Hirefii platform, including our website and related services (collectively, the "Service").
By using the Service, you consent to the practices described in this Policy. If you do not agree, please discontinue use of the Service.
2. Information We Collect
Information you provide directly:
- Account credentials: email address, password (stored hashed)
- Profile information: name, phone number, location, career history, education, skills
- Applicant profile content: personal pitch, work preferences, availability, portfolio links
- Employer information: company details, billing information, hiring preferences
- PROfile badge data: results from background checks, drug screens, psychometric assessments, and physical readiness exams conducted by third-party providers
- Communications you send to Hirefii support
Information collected automatically:
- Log data: IP address, browser type, pages visited, timestamps
- Device information: device type, operating system
- Cookies and similar tracking technologies (see Section 8)
- Usage patterns: features used, search filters applied, session duration
3. How We Use Your Information
We use the information we collect to:
- Create and maintain your account
- Display Applicant profiles to subscribing Employers
- Process payments and manage subscriptions via Stripe
- Send transactional emails (account confirmation, password reset, receipts)
- Improve platform features and user experience
- Enforce our Terms of Service and prevent fraud
- Respond to support inquiries
- Comply with legal obligations
We do not sell your personal information to third parties for their own marketing purposes.
4. How Applicant Data Is Shared with Employers
Applicant profiles are visible to all subscribing Employers in a limited preview format that does not include direct contact information. An Employer must use a PROfile Unlock (via subscription or one-time purchase) to access an Applicant's full contact details, including email address, phone number, and location.
By creating an Applicant profile, you consent to your profile preview being visible to Employers on the platform and your full contact information being shared upon an Employer's unlock of your profile.
Employers agree, as a condition of access, to use your contact information solely for legitimate hiring purposes and not to resell or redistribute it.
5. Third-Party Service Providers
We share information with trusted third parties only as necessary to operate the Service:
- Supabase — database and authentication infrastructure
- Stripe — payment processing (we do not store full card numbers)
- Third-party screening providers — background check, drug screen, psychometric, and physical readiness services (data shared only upon Applicant opt-in)
- Email delivery services — transactional and notification emails
- Hosting and infrastructure providers
Each provider is contractually required to protect your data and use it only for the purposes of providing services to Hirefii. We do not authorize providers to use your data for their own purposes.
6. Data Retention
We retain your account information for as long as your account is active. If you close your account, we will delete or anonymize your personal data within 90 days, except where retention is required by law (e.g., financial records for tax compliance, which are retained for 7 years).
PROfile badge data obtained through third-party screening providers is retained according to the applicable provider's policies and applicable law. You may request deletion of your data subject to these limitations.
7. Your Rights & Choices
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your personal data
- Object to or restrict certain processing activities
- Withdraw consent where processing is based on consent
- Receive your data in a portable format
To exercise any of these rights, contact us at privacy@hirefii.com. We will respond within 30 days. Some requests may be limited where we have a legal obligation to retain certain data.
8. Cookies
We use cookies and similar technologies to maintain your session, remember your preferences, and understand how you use the platform. Specifically:
- Session cookies — required for authentication; deleted when you close your browser
- Role cookies (hf_role) — stored for 30 days to route you to the correct portal
- Analytics cookies — help us understand usage patterns (anonymized where possible)
You can control cookie settings through your browser. Disabling required session cookies will prevent you from logging in.
9. Security
We implement industry-standard security measures to protect your data, including encrypted data transmission (TLS), hashed password storage, server-side authentication validation, and access controls limiting which staff can view personal data.
No method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you suspect unauthorized access to your account, contact us immediately at security@hirefii.com.
10. Children's Privacy
The Service is not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we will promptly delete it.
11. California Privacy Rights (CCPA)
If you are a California resident, you have the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information. Hirefii does not sell personal information. To submit a request, contact us at privacy@hirefii.com.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of the page. For material changes, we will notify active users via email or an in-platform notice at least 14 days before the change takes effect.
